Delegation is one of the most important skills for a manager. Effective delegation is more than assigning work. An employee should understand what needs to be done, why it matters, when it is due and what a successful result looks like.
Good delegation improves accountability and gives managers more time for higher-value work.
Describe the result rather than only listing activities.
Instead of “check the website,” specify an outcome such as “create a list of website issues with the affected page, description and priority.”
The clearer the result, the easier it is to evaluate completion.
When responsibility belongs to “the team,” it can be unclear who is expected to finish the task.
Even when several people contribute, assign one owner who is responsible for coordinating the work and ensuring the final result is delivered.
“As soon as possible” is not a useful deadline.
Use a date, time or agreed time window. If the task depends on other work, consider those dependencies when setting the deadline.
Employees often manage several tasks at the same time. A new assignment therefore needs context about its importance.
Make it clear whether the task is critical, important or lower priority compared with existing work.
Missing information is a common cause of delays. Provide relevant documents, inputs, requirements and information about dependencies.
However, context does not mean explaining every step. The goal is to enable the employee to make informed decisions independently.
Employees should know what to do when a task is at risk.
A simple rule is: report a blocker as soon as it may affect the deadline, scope or quality, ideally together with a proposed solution.
This gives the manager a chance to remove obstacles before the deadline is missed.
Delegation loses its value if the manager starts directing every step.
Set expectations and checkpoints, then give the employee room to decide how the work should be completed.
